A Workwear Policy Removes Ambiguity and Arguments
Without a written workwear policy, every uniform-related decision becomes a potential friction point. Someone asks why they don’t get a jacket when their colleague has one. A new starter doesn’t know whether to wear their uniform to and from work. A manager doesn’t know whether they can use their own discretion on uniform substitutions. These small frictions compound over time into genuine management headaches.
A workwear policy — a clear, written document specifying who gets what, when, and under what conditions — resolves these issues before they arise. Here’s how to write one.
What a Workwear Policy Should Cover
Eligibility: Which roles are entitled to workwear? Does it apply from day one or after probation? What about part-time and casual staff?
Garment allocation: Specify exactly what each role receives. “Customer-facing staff: 2 polo shirts + 1 fleece on commencement of employment.” No ambiguity.
Ownership: Is workwear company property or does it transfer to the employee? Most UK businesses treat it as company property — it must be returned on leaving.
Care requirements: Brief instructions on washing and storage. Attach the specific care card from the garment if available.
Replacement process: How does a damaged or worn-out garment get replaced? Who authorises replacements? What evidence is needed?
Return process: When an employee leaves, workwear must be returned before final pay processing. Specify this clearly. If a deposit scheme is in place, detail how it operates.
Non-compliance: What happens if an employee doesn’t wear their uniform? This should be addressed as a performance matter rather than a disciplinary one in most cases — unless repeated.
Keeping It Simple
A workwear policy doesn’t need to be a lengthy document. One or two pages of plain English covers everything most businesses need. Simple language, clear expectations, no room for misinterpretation.
