What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact data — email address, phone number, billing and delivery addresses
  • Order data — items purchased, quantities, customisation requirements, uploaded logo files, order history
  • Payment data — transaction references (we do not store full card details; payments are processed by PCI-compliant third parties such as Stripe and Klarna)

  • Communication data — content of enquiries sent via forms, chat, email or phone
  • Chatbot data — messages you send to our website chat widget, our replies, timestamps, and IP address

Who we share it with

We share data only with third parties required to fulfil your order or operate the website:

  • Payment processors (Stripe) — card authorisation
  • Delivery couriers (UK carriers such as Royal Mail, DPD, Parcelforce) — name and address for delivery
  • Garment suppliers and printing partners — limited to order fulfilment; bound by their own privacy obligations
  • Hosting and email providers — WordPress / WooCommerce infrastructure, email server, Cloudflare (content delivery and security)
  • AI chatbot provider (OpenRouter, routing to Google Gemini) — the text of your chat messages is processed to generate a response, then logged to our own database. We do not send names or emails to the AI unless you share them in the chat.
  • HMRC and regulatory authorities — when legally required
  • Our accountants — for tax and bookkeeping

We do not sell your data to anyone. We do not share it with advertisers beyond basic site analytics.

How long we keep it

  • Order data — 7 years (HMRC retention requirement)
  • Communication and enquiry data — up to 3 years after last contact, then deleted
  • Chat transcripts — up to 12 months, then deleted
  • Uploaded logo files — kept while you are an active customer; deletable on request
  • Marketing consent — until you unsubscribe; we record the date consent was given and withdrawn

Your rights

Under UK GDPR you have the right to:

  • Access a copy of the data we hold about you
  • Correct inaccurate data
  • Erase your data (where we’re not legally required to keep it)
  • Restrict or object to how we process it
  • Portability — receive your data in a machine-readable format
  • Withdraw consent to marketing at any time — click unsubscribe on any email or message us
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk or 0303 123 1113 if you believe we’ve mishandled your data

  • Regular backups (encrypted, held with Google Drive via UpdraftPlus)
  • Limited-access staff accounts — only authorised staff see your data

No system is 100% secure. If we become aware of a data breach likely to affect you, we’ll notify you and the ICO within 72 hours.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top always reflects the current version. Material changes (not editorial tweaks) will be flagged on the homepage.
